POSITION DESCRIPTION
Procurement Officer helps to manage phases of IT procurement function as assigned by IT Procurement Supervisor or Manager. He/she will also be involved as the IT representative for project procurement initiated by users. This role is reporting to the IT Procurement supervisor and is responsible for managing the procurement process from IT side.
DUTY & RESPONSIBILITY
- Researching suppliers and sourcing quotations for procurement-related requests.
- Receiving requests from users for IT asset-related procurement and reviewing it for management approval.
- Manage and control the IT inventory room to ensure proper record and reconciliation with the report.
- Maintain accurate stock records in the inventory system.
- Monitor the minimum stock level and notify management for stock refilling.
- Manage end-user devices (laptops, desktops, monitors, printers, etc.) under IT Division.
- Prepare and open IT equipment (laptops, desktops, monitors, printers, etc.) for the user.
- Receive and upload user requests into the approval system, ensuring proper documentation and compliance with the approval process.
- Ensure all equipment issued to users is properly recorded.
- Support device transfer and return processes.
- Involve and support project tendering.
- Prepare and issue Purchase Order (PO) after approval.
- Track delivery timeline and ensure goods are delivered as per PO terms.
- Maintain proper documentation of PR, PO, invoice, and delivery note.
- Verify and process vendor invoices and submit them to the admin team for payment.
- Regularly update IT asset information when there are any changes.
- Supporting IT Procurement Supervisor or Manager in establishing documents to ensure efficient internal controls and practices.
- Other tasks assigned by management.
QUALIFICATION
- University graduate, preferably with a major in Computer Science related subjects or equivalent.
- Preferable over 2 years' experience in IT sector.
- 1+ years of experience in an IT procurement role.
- Good understanding of procurement policies and practices.
- Experience in using IT Assets Management tool is preferable.
- Outstanding leadership, organizational, and time management skills.
- Outstanding verbal and written communication skills (English and Khmer).
- Fluency in the Chinese language is an added point.
- Strong people skills.
- Self-motivated and good problem-solving skills.
